Queleon Limited (“Queleon”, “we”, “us”) respects your privacy. This policy explains what personal information we collect through queleon.io (the “Site”), why we collect it, how we look after it, and the choices and rights you have. It is written to meet the standards of the Privacy Act 2020 and its Information Privacy Principles (IPPs).

This policy covers the Queleon website and its free tools, self-assessment forms, and contact/booking forms. It does not cover any other products we may develop and launch in future, which will have their own privacy policy and consent framework once they exist.

1. Who we are

Queleon Limited is a New Zealand company based in Wellington, providing independent Integration & AI Advisory and AI Enablement for SMEs. For privacy queries, contact us at hello@queleon.io.

2. Information we collect

We only collect personal information you choose to give us through the Site’s forms and tools. We do not require you to create an account or sign up to browse the Site or to see your self-assessment result.

2.1 Free self-assessment tools (Readiness Scorecard and AI Mini-Audit)

When you use the Integration & AI-Readiness Scorecard or the AI Mini-Audit, your answers are scored in your browser and your result — your scorecard, or your three ideas from the Mini-Audit — is shown to you instantly. You don’t need to give us anything to see it.

If you then choose to book a scoping session or ask us to follow up on your result, we ask you for:

  • Your name, work email address, and organisation; and
  • What is driving your interest (selected from a short list of options).

We only receive this if you take that step. Separately, if you complete it, the Scorecard’s optional “about your organisation” section asks about country, sector, industry, whether you operate in a regulated environment, cloud provider(s), whether a written integration plan exists, and any data-residency or regulatory constraints — this section is optional and never gates your result. We also receive your scored answers across the eight readiness dimensions (Scorecard) or ten questions (Mini-Audit).

2.2 Scoping session and contact requests

When you request the free 45-minute scoping session or otherwise contact us through the Site, we collect the information you provide, which may include your name, work email address, organisation, phone number (optional), your preferred way to meet, and a short description of your situation.

We use this only to arrange and prepare for the session or to respond to your enquiry. We do not add you to a mailing list from this form, and we do not share it onwards. You can ask to see, correct, or delete this information at any time — email hello@queleon.io.

2.3 Newsletter

If you sign up for our Insights newsletter, we collect your email address so we can send you new articles and updates. You can unsubscribe at any time using the link in any email we send, from our standalone Unsubscribe page, or by contacting hello@queleon.io. The standalone page sends a confirmation link to the address you enter before removing it, so nobody else can unsubscribe you.

2.4 Information collected automatically

Our hosting provider (Cloudflare Pages) automatically logs standard access information for every visit to the Site — for example, IP address, browser type, the page requested, and the date and time — as virtually all websites do. We also use Cloudflare’s own web analytics to see aggregate traffic and how visitors move through the Site, including how many people start and complete the Scorecard or Mini-Audit and how many go on to book a session. This analytics tool does not use cookies and does not build an ongoing profile of you across visits.

Where you’re partway through a self-assessment, your in-progress answers are held only in your browser (not sent to us) so that refreshing the page doesn’t lose your progress.

3. How we use your information

We use the personal information described above only to:

  • Show or send you your self-assessment result, where you ask us to;
  • Arrange, prepare for, and follow up on a scoping session or enquiry you’ve requested;
  • Send you the newsletter, if you’ve subscribed;
  • Understand, in aggregate, the kinds of organisations using the Site, so we can improve it; and
  • Meet our legal and accounting obligations.

We do not use your information for automated decision-making that affects you, and we do not sell it.

4. Who we share it with

We do not sell or rent your personal information, and we do not share it with third parties for their own marketing purposes.

We may share limited information with service providers who help us run the Site and our practice — currently our hosting and analytics provider (Cloudflare) and our email-delivery provider (Resend), which we use to deliver form submissions and newsletter emails — solely so they can provide that service to us, and under terms that require them to protect it.

We may also disclose information where required by law, or to protect our rights or the safety of others.

5. Sending information overseas

The Site is hosted on Cloudflare Pages, and form and newsletter emails are delivered using Resend. Both operate global infrastructure, and your information may be processed in countries other than New Zealand as a result.

Where personal information is sent or stored overseas, we take reasonable steps to ensure it receives comparable protection to that required under New Zealand’s Privacy Act 2020, including by relying on reputable providers with their own security and privacy commitments.

6. Storage, security and retention

We take reasonable steps to protect the personal information we hold from loss, misuse, and unauthorised access. Form submissions on the Site are delivered to us by email via Resend at the point you submit them, rather than being stored in a separate database on the Site.

How long we keep your information depends on the relationship:

  • If you complete a self-assessment or contact form but don’t go on to engage us, we keep your details only for as long as it’s reasonably useful for us to follow up — generally up to 12 months of inactivity, after which we delete or de-identify them.
  • If you engage us for paid work, we keep your contact details and engagement records for the life of that engagement and for 7 years afterwards, in line with our business record-keeping obligations under the Tax Administration Act 1994.

You can also ask us to delete your information sooner. As a matter of practice — see section 7 on why this is a practice, not a Privacy Act right — we will do so unless we have a good reason to keep it, for example a legal or tax obligation.

7. Your rights

Under the Privacy Act 2020, you have two core rights over the personal information we hold about you: to ask us for access to it, and to ask us to correct it if it’s wrong — which can include deleting or adding to it where that’s the right fix.

New Zealand’s Privacy Act doesn’t give you a general right to have accurate information deleted simply because you ask (unlike, for example, the EU’s “right to erasure”). As a matter of our own practice, not because the law requires it, we will delete your information on request unless we have a good reason to keep it — such as a legal or tax obligation. Section 6 sets out how long we normally keep different kinds of information.

To exercise any of these rights, contact us at hello@queleon.io. We will respond within a reasonable time, and in any event within any timeframe required by law.

8. Cookies

The Site does not use cookies. Our on-site analytics (section 2.4) is built to work without them.

If that changes — for example, if we start running advertising campaigns that rely on cookies, such as Google Ads or Meta advertising — we will update this policy first and add a cookie consent banner before any such cookie is set.

9. Children

The Site is intended for business users and is not directed at children. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this policy from time to time, for example as the Site’s tools and features change. The “last updated” date at the top shows when it was last revised. Material changes will be reflected here before they take effect.

11. Complaints

If you have a concern about how we’ve handled your personal information, please contact us first at hello@queleon.io so we can try to resolve it. If you’re not satisfied with our response, you can complain to the Office of the Privacy Commissioner (OPC) at privacy.org.nz or 0800 803 909.
